Job notes
Engineers write notes in the van, on a phone, in a hurry: "pressure low 0.6, topped to 1.4, PRV weeping, needs new one next visit". AI can turn that into a clear summary and a list of follow-ups (order the part, book the return visit) without changing the facts. Have the engineer or the office glance over it before it's saved, especially if the customer will see it.
Invoices
AI can draft the invoice for a finished job from what's already recorded: the quote the customer accepted, the time on site, the parts used. Two rules keep it safe:
- Prices come from your own price list and quote, never from the AI. Let it choose the lines and write the descriptions; let your software set the figures.
- A person issues every invoice. The AI's job ends at a draft.
A useful extra: let AI flag invoices that look low for the work, such as two hours logged but one hour charged, or a job priced well under similar ones. Underbilling is easy to miss when you're busy.
Customer messages
"Running 30 minutes late", "we need to come back for the part", "here's when we can rebook": AI can draft these in your own tone in seconds. Read them before they go. And never let AI answer a complaint or a dispute; that's a conversation for you.
Compliance
If your engineers need current certificates (gas, electrical, working at height), AI can warn you which are expiring and which booked jobs they affect, and draft the reminder. Whether someone is qualified to do a job stays a matter of record and of your judgement, not the AI's.
A checklist before you switch anything on
- Does a person approve every invoice and every customer message?
- Do prices always come from your own figures?
- Can you see a log of what the AI did?
- Is anything about customers' homes, like photos, sent to an AI provider, and have you told customers?
Varisett FSM runs jobs from booking to payment: dispatch, the engineers' app with offline notes and photos, quotes, invoices and certificates that block unqualified assignments.
