Good jobs for AI
- Reminders about overdue or expiring training, drafted for a manager to send or approve.
- A plain-words summary of where the team stands: who's in date, who's overdue, which courses have the most gaps, what to sort first.
- Reading the dates and course name off a training certificate, so nobody types them in, with a manager checking before it's saved.
- Drafting quiz questions from your own policies (medication, safeguarding, infection control), for someone to check before staff see them.
- Answering questions like "who's overdue on moving and handling?" from your own records.
What should stay with a person
- Whether someone is competent, or may work unsupervised. Training records are evidence for that judgement; they're not the judgement.
- Marking training complete. A record that says someone is trained should be confirmed by a person who's satisfied it's true.
- Anything about the care of the people you support. AI shouldn't be making or suggesting care decisions.
- Deleting or changing records after the fact.
Be careful with these records
Some records hold data the law treats with extra care. DBS certificates contain criminal record information, and staff health or occupational health records are special category data under data protection law. Keep these away from general-purpose AI tools, record them by hand, and limit who can see them. If you're unsure, ask your data protection adviser before putting them through any AI.
What inspectors will still expect
In England, CQC's Regulation 18 (Staffing) expects providers to have suitably qualified, competent staff and to support them with the training they need. Using AI to keep records current doesn't change who's responsible: the registered manager still needs to show they know where the gaps are and what they're doing about them. AI that prepares the evidence, with a person checking it, helps you show exactly that. Other UK nations have their own regulators with similar expectations.
Questions to ask before using any AI with care records
- Does a person approve anything that becomes a training record?
- Can it be stopped from reading DBS checks and ID documents?
- Is there a log of everything it did and who approved it?
- What's sent to the AI provider, and does the provider use it to train its models?
Varisett LMS keeps a care home's training current: training by job role, certificates with amber and red status, a 12-month forecast, and each manager's own team. £69 a month per home, unlimited staff.
