Never send an unqualified engineer to a job

Track every engineer's certifications with their expiry dates, see what's lapsing in the next 30 days, and let the system refuse any assignment that needs a qualification the engineer doesn't hold.

The problem

A spreadsheet can't stop a booking

Most trade businesses do track certificates, usually in a spreadsheet or the back of a diary. The problem is that the spreadsheet and the diary don't talk. On a busy morning, the person booking the job isn't checking whether the engineer's Gas Safe card ran out last week.

In Varisett FSM, qualifications and bookings are the same system. A job type says what it requires, each engineer's record says what they hold and until when, and assignment is checked against both, every time.

How the certification block works

Qualifications per engineer

Record each engineer's certifications with their reference, issue date and expiry. Gas Safe Registered, City & Guilds 2391 and Working at Height come set up; add any others your work needs, each with its own validity period.

Requirements per job type

Say which certifications a job type needs, for example Gas Safe on boiler work or 2391 on inspection and testing. Individual jobs can add more.

Enforced in the database

Assigning an engineer without a current required certification is refused, whether it's dragged on the board, picked from suggestions or changed on the job. It's a hard rule in the database, not a warning that can be clicked past.

The 30-day view

The Compliance page lists everything that has already lapsed and everything expiring in the next 30 days, per engineer, so renewals get booked in time.

Suggestions that already know

When you assign a job, the ranked suggestions take held certifications into account, alongside skills, availability, bookings and distance.

Skills vs certifications

Skills help rank the best person for a job. Certifications are the legal line that blocks. Keeping the two separate means nobody mistakes 'good at boilers' for 'allowed to work on gas'.

How it works

Set it up once

  1. 1Add certificationsEnter each engineer's qualifications, with reference and expiry.

Questions

Frequently asked

Can a manager override the block for an urgent job?

No. That's the point: a job that requires a certification can only go to someone who holds it and whose certificate is current. To send someone else, update their record with a current certificate first.

Which certifications can I track?

Any. Gas Safe Registered, City & Guilds 2391 and Working at Height come set up, and directors can add others (18th Edition, OFTEC, G3 unvented, F-Gas, CSCS and more), each with its own validity period.

Does it email engineers when their certificate is expiring?

Not automatically. The Compliance page shows what's lapsed and what's due in the next 30 days, so the office can chase renewals. Nothing is sent without a person.

How quickly can we start?

Order online and your system is set up automatically on your own address, usually within minutes. You then add your engineers, their certificates, your job types and your customers, and you can book the first job the same day.
